Editing a Purchase Order

Editing a Draft Purchase Order

A Draft PO is fully editable at any time before it's sent. Open the PO from the Purchase Orders list and you'll be taken back into the review screen where you can:

  • Change any order quantity
  • Exclude or re-include items
  • Add or remove custom items
  • Edit cost prices
  • Regenerate the analysis with updated settings (if the draft is more than 6 hours old, the analysis will refresh automatically when you open it)

To save your changes, use Save & Continue to keep it as a Draft, or Save & Mark as Sent when the order is ready to go.


Editing a Sent or Partially Received Purchase Order

Once a PO has been marked as Sent, you can still make changes to the order quantities and cost prices directly from the PO detail screen. This is useful if a supplier confirms a different quantity, or if an item is no longer available.

From the PO detail screen, click Edit Order.

Changing quantities

Adjust the ordered quantity for any line item. When you save the changes, Skumo will update the incoming stock in Shopify to reflect the new quantities — increasing incoming if you've ordered more, or reducing it if you've ordered less.

Editing cost prices

You can update the cost price for any item on a Sent PO. This updates the recorded cost within Skumo but does not change the cost price in Shopify for items linked to a Shopify product.

Adding line items

Use Add Line Item to add a product to a Sent PO that wasn't included in the original order. You can add custom items only — items must be entered manually with a name, SKU, cost, and quantity.

Removing line items

Use the remove option on any line item to take it off the order. Removing an item from a Sent PO will cancel the incoming stock for that item in Shopify. If the item was linked to a Special Order, that Special Order item will be moved back to a pending state.


Changing the Delivery Location

Multi-location stores only.

If the delivery location needs to change after a PO has been sent — for example, if goods are being redirected to a different branch — you can update this from the PO detail screen.

Click Change next to the location name in the order details panel.

You'll see a warning explaining the inventory impact: incoming stock will be removed from the original location and re-committed to the new location for all tracked items. Select the new location and confirm.

Important: If any items on the PO are not tracked at the new location, incoming stock won't be committed for those items. Skumo will display a warning banner listing the affected items after the change is saved.
