Purchase Orders — Overview
What is a Purchase Order?
A Purchase Order (or PO) in Skumo is a record of stock you're ordering from a supplier. It tracks what you ordered, what's been received, and the value of the order — and it connects directly to your Shopify inventory so stock levels update automatically as goods arrive.
Purchase Order Statuses
Every PO moves through a series of statuses as it progresses:
| Status | What it means |
|---|---|
| Draft | The PO is being built. No order has been placed yet and no inventory has been committed. |
| Sent | The order has been sent to your supplier. Skumo has recorded the ordered quantities as incoming stock in Shopify. |
| Partial | Some of the ordered goods have arrived and been received. Skumo has moved the received quantities into available stock in Shopify. |
| Received | All goods have been received. The PO is complete. |
A colour indicator on every PO row makes the status easy to spot at a glance:
- Blue — Draft
- Amber — Sent
- Orange — Partial
- Green — Received
- Red — Sent or Partial orders that have passed their expected delivery date
The Purchase Order List
The Purchase Order list shows all your POs across every status. Each row shows:
- PO number — assigned when the PO is marked as Sent (for example, PO-0042)
- Supplier — who the order was placed with
- Units — received units vs ordered units (e.g. 12/30 means 12 of 30 items received)
- Total value — the cost value of the order based on your item cost prices
- Sent date — when the order was sent to the supplier
- Expected date — the estimated delivery date (if set)
Multi-location stores: The PO list shows a tab for each of your Shopify locations, plus an All tab that shows every PO regardless of location. Clicking a location tab filters the list to only show POs destined for that location.
PO Numbers
PO numbers are assigned automatically when you mark a PO as Sent. They follow the format PO-XXXX, with the number increasing from the highest existing PO in your account. Draft POs don't have a PO number until they're sent.
